The 500 Sails collects personally identifying information (PII) directly from members via the 500sails.org website upon joining. This always includes name and email address, and sometimes includes address and phone number if needed for delivery purposes via U.S. Mail or other delivery service. Data is also collected during our activites providing community programs, and during community outreach in schools and public events, including name, contact information, birthdate, demographic information and activity interests.
Collected data is used to help inform our understanding of community needs, progress made towards achiving goals serving community needs, and to provide grant compliance reporting to funders. Grant reporting includes public contact counts, demographics related to specific program delivery, and to measure program reach and effectiveness.
500 Sails does not share member PII with any other organization that is not directly involved in jointly providing services to the public, and then only with the informed consent of joint program participants. Examples of this would include registration information from partitipants in summer programs for students that 500 Sails conducts in cooperation with other organzations that serve students.
Collected data will only be accessible to 500 Sails staff who require it to perform the duties connected to their position, and only the specific data needed will be accessible.
Security best practices are adhered to at all times. Standard security measures for digital data are followed. Office and physical files are locked and access is limited to officers and staff who require it.
